Workflow Settings

Settings → Workspace settings → Workflows lets admins configure how expenses are approved and whether approved records stay locked.

Expense approvals

Enable expense approval workflow — when on, expenses submitted by users who are not approvers must be signed off before they are treated as final.

When approval is enabled you can set:

  • Auto-approval threshold — amounts below this value in your workspace currency are approved automatically, so small receipts do not block the team.

If no specific approver is chosen for a request, the app can fall back to users who have approval permissions on the job (see the in-app hint on the settings screen).

Security & compliance

Lock approved expenses — when enabled, users cannot edit expenses after approval. This protects audit trails and prevents accidental changes after sign-off.

Toggle these to match your company’s policy; finance and site teams should agree on thresholds before rolling them out.
