Finances Overview

Finances4 min read

Financial work in SiteHut spans workspace-level reporting (totals and filters across jobs) and each job’s Finances tab—from early estimates through to invoices and expenses.

In a job

  • Estimates — early cost plans before you commit to a formal quote.
  • Quotes — customer-facing offers; often built from Library costing library lines.
  • Variations & final account — changes after the original agreement.
  • Invoices — bill for completed work; PDFs use your workspace company details.
  • Expenses — receipts and ledger entries against the job.

Job cost report

Under Job → Reports, the Job Cost Report compares:

  • Planned cost — from your approved main quote (estimate breakdown for estimate-backed quotes, or quick-quote line items by cost type).
  • Approved expenses — only expenses in approved, partially paid, or paid status.
  • Cost variance — planned minus actual expenses.
  • Margin — invoiced revenue minus approved expenses (reference only).

When you archive a job, SiteHut freezes a snapshot of this report so you can review close-out profitability after the job leaves active workspace rollups.

Workspace settings

Currency, VAT, letterhead, and numbering for PDFs are usually set under Settings → Workspace Settings (Company, Quotes & Invoices, and related panels). Admins configure these once so every document looks correct.
