Tasks

Tasks5 min read

Tasks is where you plan work: a list for day-to-day edits, a Gantt for the schedule, and a Calendar for dates and events. The same three views live on workspace Tasks and on each job Plan tab.

When this area is the right place

Use Tasks when you are building or changing the plan.

Use My Work for your personal due-date queue and on-site quick actions. Use a job when you need the daily log, punch list, files, or Job finances.

Where tasks live

PlaceWhat you see
Tasks in the sidebarWork across jobs. Filter by status, type, and assignee.
Job → PlanThe same List, Gantt, and Calendar, scoped to that job.

Every task belongs to a job. On workspace Tasks, pick the job when you create one. There is no separate Tasks tab on the job: the tab is Plan.

Common actions

  • Type in Add a to-do… on the List to capture a name-only item. Enter keeps the field ready for the next one. These get the To-do type (change it anytime in the editor) and stay off the Gantt and Calendar until you add dates.
  • More details (on the capture bar) or Add detailed task opens the full planning form: dates, assignees, type, Gantt/Calendar visibility.
  • Add Event for a meeting, delivery, or inspection that is not a task bar.
  • Open a row or bar to edit in the detail sheet (Details and Activity & Comments).
  • Filter by status, task type, and assignee. On Gantt and Calendar you can also overlay punch list items and RFIs.

Internal work

For office or ops work that is not a site:

  1. Create an internal job (for example SiteHut / Internal).
  2. Assign yourself so My Work shows the queue. To-dos created from My Work are assigned to you automatically.
  3. Set an end date so overdue / today / this week grouping works. Name-only to-dos land in Unscheduled until they have a date.
  4. Star the job if you create tasks from My Work often.
Filters, bulk edit, import, and settings

Filters: status, task type, assignee (including unassigned). Calendar also has Show tasks, Show events, and Milestones only. Gantt Color by can be Status, Critical, or None. Both views can Hide weekends.

Bulk: select rows, then change status, assignees, parent, milestone, or visibility, Merge into checklist…, export, or delete.

Import opens Bulk Import & Update: Full CSV, Quick list, a Library task template, or MS Project XML. Task templates live under Library → Templates.

Task types are a workspace list under Settings. Working days and timezone live under Settings → Preferences. Non-working exceptions can be added from the calendar.
